About this job

We are seeking a Receptionist / Administrator to provide temporary one week cover, ensuring our client's branch continues to operate smoothly and professionally during this period. This short term role is essential in maintaining high standards of administration, customer service, and office presentation while supporting both the sales and service teams.

You will act as a key point of contact for customers, visitors, other branches, and internal colleagues. The position requires confident communication, accurate data entry, and a proactive approach to daily administrative tasks. As this is a temporary cover role, you may also be asked to support other team members with reasonable duties that fall within your knowledge and capability.

KEY RESPONSIBILITIES:
Daily duties include (but are not limited to):
Answering incoming telephone calls.
Logging inbound calls accurately.
Meeting and greeting customers, suppliers, and visitors.
Chasing purchase order numbers where deferred P/O giving has been pre authorised.

Supporting real time maintenance of database with a strong focus on accuracy, including:
Entering chargeable and non chargeable jobs.
Invoicing and completing chargeable jobs.
Completing non chargeable jobs.
Managing on hire and off hire of equipment, including immediate invoicing.
Raising and completing sales orders.
Setting up maintenance contracts.
In the absence of a Service Manager or Storeman:
Opening jobs and allocating engineers for site visits (e.g., breakdowns).
Organising transport and raising relevant purchase orders.
Collating engineers' timesheets.
Logging holiday requests.
Filing and maintaining organised records.
Ensuring timely distribution of incoming and outgoing post.
Ordering stationery and maintaining stock levels.
Carrying out any other reasonable tasks requested by managers.

Working hours are Monday to Friday 08:00am - 4:30pm based on site in their Hull office.

THE CANDIDATE:
Previous office administration experience is essential.
Strong attention to detail.
Organised and methodical.
Good communication and people skills.
Good IT skills i.e. data input and using MS Office applications.
