Hours: 37.5 hours per week
Working Pattern: Monday- Friday, 9AM - 5pm, 8AM- 4PM
Duration: 6 Weeks
MAIN PURPOSE OF THE POST
To provide a high-quality reception service and administrative support, predominately at the Education Centre, Wycombe Hospital, with the possibility of assisting at Stoke Mandeville Hospital should the need arise.
The post-holder will assist with the smooth running of the centre, by demonstrating a flexible approach to the role and will be expected to work alongside all members of the Education, Learning and Development Team. Due to the main intake of doctors to the Trust occurring at the beginning of August annual leave may not be granted around this period. Please speak to the Medical Education Manager for clarification.
You’ll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.
Key Duties and Responsibilities
Factor 1 - Communications and Relationship skills
• Act as centre receptionist, answering queries by phone, in person or by email providing clear consistent advice and guidance as required.
• Always greeting visitors to the centre ensuring a professional, hospitable and welcoming environment.
• Assist with the distribution of learning materials to staff/trainees as required.
• Maintain Study Leave mailbox and respond to emails in accordance with Trust policy and protocols.
Factor 2 - Knowledge, Training and Experience
• Be flexible and responsive to changing demands.
• Be proficient in the use of and act as point of contact for Information Technology (IT) and Audio Visual (AV) equipment.
• Ensure AV equipment is in operational and in situ when requested.
• Provide technical support and instruction for the use of AV equipment to staff and visiting facilitators who are unfamiliar with the equipment.
Factor 3 - Analytical and Judgemental skills
• Understand and action multiple work strands in accordance with Trust protocol and department SOP.
• Assist line manager with the creation, distribution, collation and interpretation of GPVTS training feedback and highlight trends.
• Accept, review, action and log study leave applications and claims for all Medical Staff.
• Inform Medical staff of their study leave allowance, (days and financial budget).
• Support the Induction administrator and cover the role in their absence.
Factor 4 - Planning and Organisational skills
• Be proactive by creating GPVTS programme advertisement.
• Liaise with GPVTS PD’s • Be reactive and adaptive to changing requirements.
• Creating photo ID’s and dealing with access issues for all staff members.
• Prioritise, book and amend training room requests in accordance with the Training Centre guidance. • Maintain course/room bookings log to inform dept lead of room utilisation.
• Assist with arranging study days and learning activities as necessary.
Factor 5 - Physical skills
• VDU/keyboard utilisation throughout the working day
Factor 6 - Client Care
• Be courteous and understanding towards all staff and the general public
• Provide personal assistance where reasonable and appropriate
Factor 7 - Policy and Service Development Implementation
• Adhere to extant working policies
• Be instrumental in reviewing policies and instigating change for own and wider polices such as security, study leave and induction.
Factor 8 – Responsibilities for financial and physical resources
· Raise invoices for external agencies using the facilities.
· Be responsible for the safe use of AV equipment.
· Be responsible for maintaining stock control and security of ID badges and associated equipment.
Factor 9 – Responsibilities for human resources
· Provide guidance and support to new or visiting employees to the department.
Factor 10 - Responsibilities for information resources
· Ensure the accurate input of data into training systems and collate information for specific reports as required.
· Ensure department IT equipment is routinely cleansed ensuring that all non-essential data is stored correctly or deleted as required.
Factor 11 - Responsibilities for research and development
· Assist in the development and introduction of feedback for specific users.
· Act as subject matter expert and frequently review area of responsibility ensuring all content is accurate.
